From “can I book?” to “you’re booked”
Smile Right Dental Clinic is a fictional practice at Plot 18, Aminu Kano Crescent, Wuse 2, Abuja, Nigeria. Dr. Adaeze owns Smile Right. Blessing runs the front desk on her own — the phone, WhatsApp, walk-ins and the HMO paperwork, all at once.
The brief, in the owner’s words
“Blessing spends her morning on WhatsApp just agreeing times. Then Monday comes and a quarter of the chairs are empty. I don’t need a fancier website — I need fewer messages and fewer no-shows.” — Dr. Adaeze Okafor, owner
One person on the front desk
Blessing answers every call and WhatsApp herself. Each “can I book?” used to take four or five messages to settle.
Saturdays and 4–6pm fill first
Everyone wants the slot after work or on Saturday morning. Weekday midday is usually quiet, so we tag it for you.
Monday mornings go missing
About 1 in 5 Monday-morning bookings used to not turn up — traffic, or simply forgetting. Reminders now go out on their own.
HMO questions eat the day
“Is my HMO accepted?” took ten minutes a call. Patients now flag it while booking and Blessing checks them in one batch.
1. The front door
- Five-step booking with no account, real opening hours, WAT times.
- “Busy” and “Usually quiet” tags spread demand away from 4–6pm and Saturdays.
- Waitlist on full days instead of a dead end.
- HMO check and reminder channel (WhatsApp, SMS, email, call) picked while booking.
- Instant SR reference, calendar save, parking and traffic notes.
2. The follow-through
- Automatic confirmation, 24h reminder and 2h “I’m coming?” check.
- Self-service confirm, reschedule and cancel — no phone call.
- Cancelled slots offered to the waitlist on their own.
- No-show risk flags with a one-tap WhatsApp nudge.
- Unfinished bookings listed for a one-tap follow-up.
Before and after
Hypothetical estimates for a fictional clinic.
| Task | Before | After |
|---|---|---|
| Settling one booking | 4–5 WhatsApp messages, ~10 min | Patient books alone in under 2 min |
| Reminders | Blessing calls each patient the day before | 24h and 2h reminders go out on their own |
| Rescheduling | Phone tag, often during clinic hours | Patient moves it from the Manage booking page |
| Cancelled slots | Usually left empty | Offered to the waitlist automatically |
| People who stop halfway | Lost | Listed with a one-tap follow-up message |
| Monday no-shows | About 1 in 5 | Flagged early with a ready-made nudge |
Roughly 6 hours a week back for Blessing, and fewer empty chairs for Dr. Adaeze.
